This Privacy Notice explains how TrailBlazer Consulting, LLC (“TrailBlazer,” “we,” “us”) handles
information in connection with the TrailBlazer Tracker application (the “App”).

1. The short version

  • The offline sample runs entirely on your device and transmits nothing.
  • When you upload a document (PDF or DOCX) for a live scan, your file is read on your device
    and only the extracted text (not the original file) is sent to our secure backend and to our AI
    processing provider.
  • Some PDFs contain no readable text because they are pictures of a page (a scan, or a photo saved
    as a PDF). For those, the pages are rendered into images on your device and those images are
    sent instead of text, in the same way a camera scan is, and are then discarded. The original file
    still does not leave your device.
  • When you scan with your camera (on supported mobile devices), the page photos are sent
    securely to our backend and AI processing provider to read the dates, and are then discarded.
    We do not store the photos.
  • We don’t store your documents. Our AI processing provider doesn’t train on your data and deletes it within 30 days.
  • We do store the dates and records you choose to keep, and basic account and usage information,
    for the duration of your subscription or other use of the App.
  • You can delete your account, and all data tied to it, at any time from within the App.
  • We do not sell your personal information.

2. Information we collect

  • Account information: the email address you use to sign in, and authentication data needed to
    secure your account.
  • Document content you submit for a live scan:
  • For an uploaded document, only the text extracted from your document on your device; we do
    not collect the full file. Where an uploaded PDF has no readable text, the page images rendered
    from it on your device are collected instead of text, on the same terms as a camera scan below.
  • For a camera scan, the page images you capture. These are sent to identify dates and
    obligations and are processed in memory; they are not retained as stored images by us (see
    Section 4).

  • Derived records you keep: the dates, labels, source references, and short verbatim excerpts
    the App extracts. We store these only for documents you choose to keep, so the App can show them
    and send re-alerts. Short excerpts are automatically scanned to remove common personal
    identifiers (such as emails, phone numbers, street addresses, and links) before they are stored.
  • A one-way content fingerprint: a non-reversible hash of your scanned content, used to avoid
    re-charging you for re-scanning the same document. We do not store the underlying text or image.
  • Entitlement and usage information: for example, details related to your usage plan, scan
    counts, and purchase records, so we can provide your selected free and paid features.
  • Technical and diagnostic information: limited data needed to operate, secure, and
    troubleshoot the App. We do not log the contents of your document text or images.

3. How we use information

We use information to provide and operate the App (extract dates, generate calendar files, store
the records you keep, and send re-alerts); manage accounts and entitlements; process purchases;
secure the service and prevent abuse; provide support; and comply with law.

4. Our AI processing provider (subprocessor)

To perform extraction, we send the extracted document text and, for a camera scan, the page
images to Anthropic (“AI Provider”) through its commercial API. We send only the text or the page
images, transmitted inline through the messaging API; we do not use any file-storage API that
would retain your content. Under our arrangement on the AI Provider’s standard commercial terms:

  • the AI Provider does not use your inputs or outputs to train its models, and
  • the AI Provider deletes API inputs and outputs within 30 days, except as needed to comply with
    law or its usage policies.

We do not retain your document text or page images after processing.

5. What we do not do

  • We do not store your original files, your document text, or your scanned page images as stored
    documents.
  • We do not put the body of your document text or request in our application logs.
  • We do not sell your personal information, and we do not use your document content for
    advertising.

6. Where information is stored

Account data, entitlements, and the records you keep are stored with our backend provider,
Supabase, in East US (North Virginia). The AI Provider processes content on its infrastructure as
described in Section 4.

7. Retention

  • We do not retain your files, document text, or scanned page images after processing.
  • Preview records you do not keep are automatically purged after 30 days.
  • Records for documents you keep are retained until you delete them or close your account.
  • Account and purchase records are retained as needed to operate the service and meet legal
    obligations.

8. Your choices and rights

You can review and edit the records you keep and delete individual records. You can delete your account, and all data tied to it, at any time from within the App (your account menu, then
Delete account); you may also request deletion by contacting us at info@trailblazer.us.com.
Depending on where you live, you may have additional rights (for example to access, correct,
delete, or port your information, or to object to certain processing).

9. Security

We use reasonable technical and organizational measures to protect information, including access
controls and encryption in transit. No method of transmission or storage is completely secure, and
we cannot guarantee absolute security.

10. Children

The App is not directed to children and is intended for users 18 and older. We do not knowingly
collect personal information from children.

11. Changes to this notice

We may update this Privacy Notice. Material changes will be communicated as required by law, and
the updated effective date will appear above.
